The McMillan PTA Nominating Committee is seeking volunteers who would like to assume a leadership role on our PTA Executive Board and make a difference for all the students at for the 2025-2026 school year!
The Nominating Committee, which was elected by the membership at the February meeting, is charged with presenting their recommended slate of officers at the April meeting, which will be held on Thursday, April 17 at 6pm in the McMillan Library. There are many different positions, so please consider serving on the board. If you, or someone you know, is interested in serving in one of the officer positions listed below, please fill out the online form below by March 28, 2025. Feel free to make as many nominations as you wish. Be sure to nominate only those who have given their consent to serve, if elected. All nominees being considered for office must be PTA members in good standing; however, non-members can still join the PTA.

PRESIDENT:
Coordinate the work of this PTA's executive board and committees in order that the purposes may be promoted;
preside at all executive board and membership meetings;
confirm quorum is present at all executive board and membership meetings before conducting business;
confirm secretary and parliamentarian are present at all meetings, and appoint temporary replacements when necessary, before conducting business;
not vote, unless vote will change outcome to make or break a tie, or vote is by ballot;
appoint the chair of each standing and special committee, subject to the approval of the executive board, unless otherwise provided in these bylaws;
be authorized to sign on bank accounts, and access accounts electronically unless prohibited by terms of employment;
be authorized to sign contracts approved by the executive board;
be listed as the principal officer and be authorized to sign tax documents, unless prohibited by terms of employment;
appoint a member, subject to the approval of the executive board, who is not authorized to sign on the bank account, to review each account statement, and complete the Statement Review by Non-Signer checklist;
represent the Local PTA as a delegate to Council PTA;
appoint the financial reconciliation committee, as outlined in the Fiscal Accountability article; and
serve as an ex-officio member on all committees except nominating and financial reconciliation committees.
FIRST VICE PRESIDENT - AIDE TO PRESIDENT:
Be responsible for aide-to-the-president;
and preside in the absence of the president (in their designated order).
SECOND VICE PRESIDENT - MEMBERSHIP:
Be responsible for membership; and
reside in the absence of the president (in their designated order); and
set a membership goal to increase PTA memberships from the previous year; and
complete and mail an up-to-date membership roster to Texas PTA; and
promote PTA membership drives throughout the school year.
THIRD VICE PRESIDENT - PROGRAMS:
Be responsible for programs; and
preside in the absence of the president (in their designated order); and
coordinate all McMillan PTA student and family engagement activities throughout the school year; and
coordinate and promote student & family educational programs; and
work with other committee chairs to coordinate programs or events of related topics; and
work closely with other applicable VP’s and Committee chairs as needed for programs.
FOURTH VICE PRESIDENT - FUNDRAISING:
Be responsible for fundraising; and
preside in the absence of the president (in their designated order); and
coordinate all fundraising projects; and
produce a flyer to promote Spirit events to be sent via Parent Square and posted to Facebook; and
pick up checks when they are ready from Spirit events and give to treasurer; and
coordinate with businesses for Spirit events.
SECRETARY:
Confirm all executive board members have registered with Texas PTA within 15 days of their election or appointment;
file names of delegates and alternates with the Council PTA secretary before the first regular delegate meeting, and submit any changes in writing prior to the next delegate meeting, in order to be eligible to vote;
send, or cause to be sent, executive board and membership meeting notices;
be responsible for correspondence;
record the minutes of all executive board and membership meetings;
present the Statement Review by Non-Signer Reports at each executive board meeting;
have a current copy of this PTA bylaws and, if applicable, standing rules;
confirm the membership has adopted and the executive board annually reviews the PTA’s Records Retention Policy;
confirm that all executive board members have signed the PTA Confidentiality, Ethics, and Conflict of Interest Agreement;
maintain the required PTA documents;
collect and preserve documents relating to the PTA's history;
present a written summary of all PTA's events, programs and significant information at the annual meeting, if no historian; and,
not be a member of the financial reconciliation committee.
Secretary will manage and serve as administrator for Google workspace emails, document management.
TREASURER:
Have custody of all the PTA funds;
serve as the budget and finance committee chair;
present IRS confirmation of the appropriate Form 990 acceptance at the first executive board meeting;
present a written and verbal financial report at regular executive board and membership meetings, and as requested by the executive board or membership;
maintain books of account and records including bank statements, receipts, budgets, invoices, paid receipts and canceled checks in accordance with the records retention policy;
make disbursements in accordance with the budget adopted by the membership;
be authorized to sign on bank accounts and access accounts electronically;
be authorized to sign tax documents, if the president is prohibited by terms of employment;
present a preliminary annual report, showing budget to actual, at the annual meeting;
present next fiscal year's proposed budget for adoption by membership at the annual meeting;
file electronically and have accepted the appropriate Form 990 within 60 days of fiscal year end;
complete and file all additional tax documents; and
present books of account and records to the financial reconciliation committee.
PARLIAMENTARIAN:
Advise the chair, executive board and members on questions of parliamentary procedure;
serve as ex-officio on the bylaws (and standing rules, if applicable) review committee;
not serve as a committee chair;
schedule first nominating committee meeting and provide committee the required information on the nomination and election process; and
vote only when the vote is by ballot.
ARTS IN EDUCATION:
1. Promote the National PTA Reflections Program;
2. Coordinate McMillan Junior High entries by publicizing, receiving, judging and forwarding winning entries to Wylie ISD Council of PTAs; and
3. Plan and implement a Reflections Award Reception; and
4. Promote arts in schools through programs and activities.
COMMUNICATIONS:
1. If there is more than one person on the committee, committee members and elected officers shall appoint one person to have final approval of any public facing communications; and
2. Create and maintain the public McMillan PTA Facebook page, Wylie ISD website’s McMillan PTA page, and any further social media or web presence; and
3. Be responsible for publicizing and promoting all projects, activities, and events concerning McMillan PTA with President's approval; and
4. Manage any and all McMillan general PTA email account and all emails sent to that account; and
5. Manage and respond to any messages that are received through Facebook messenger and any other social media messenger, unless they are sent to specific officers or board members.
COMMUNITY OUTREACH:
1. Coordinate with McMillan Junior High School counselor to provide supplemental needs of students such as food, clothing, etc; and
2. Coordinate community events; and
3. Create opportunities for students, staff and teachers to give back to the community through community service events, working with programs and volunteer coordinator.
ENVIRONMENTAL:
1. Coordinate with the teacher that oversees recycling, green team, or similar program that is in place at the time; and
2. Be responsible to promote activities for environmental awareness at McMillan.
HEALTH EDUCATION AND SHAC REPRESENATIVE:
1. Work with McMillan Junior High to promote the education of parents, teachers, and students in the matters of health, wellness and safety. The concerns of this committee might include childhood obesity, and any other health related issues; and
2. Work with the Wylie ISD administration and Wylie ISD Council of PTA’s, to help promote district programs and events related to health education and SHAC; and
3. Attend all District SHAC – Student Heath Advisory Committee – meetings.
S.A.G.E.:
1. Work with McMillan Junior High to educate parents and distribute information for special needs and gifted students; and
2. Work with other committee chairs to ensure all McMillan PTA activities are S.A.G.E. appropriate; and
3. Coordinate S.A.G.E teacher and staff recognition throughout the school year with the Hospitality Chair.
YOUTH PROTECTION:
1. Work with McMillan Junior High to promote the education of parents, teachers and students in the matters of youth protection. The concerns of this committee might include: child abuse, cyber safety, guns, drugs, alcohol, bullying, and any other safety related issues; and
2. Partner and/or communicate with school SRO to coordinate efforts to support the school.
HOSPITALITY:
1. Partner with McMillan Administration to do recognition of teachers and staff as appropriate; and
2. Coordinates activities for Teacher Appreciation week, and regular meals or treats for teachers and staff; and
3. Leads efforts for collecting & organizing donations from parents, and community members; and
4. Coordinates condolences and memorials; and
5. Coordinate with McMillan Junior High to host the Wylie ISD Council of PTAs general membership meeting when assigned.
VOLUNTEER COORDINATOR:
1. Organize volunteers for activities throughout the year for all PTA events; and
2. Oversee recruitment and recognition of volunteers.
ATHLETIC MEALS:
1. Partner with Athletic Directors, Coaches, staff, and board President to coordinate meal options
and plans; and
2. Contact the parents of athletic students to collect payment for athletic meals; and
3. Order meals from restaurants prior to game day; and
4. Coordinate with all staff for the delivery of meals to students on game day.
SPIRITWEAR:
1. Identify and partner with Spirit Wear companies to offer spirit wear options, and athletic wear
2. Coordinate Athletic Wear with the principal, principal’ s assistant and athletic directors.
3. Produce flyers to promote spirit/athletic wear to be sent via all communication channels available through PTA and school.
COUNCIL DELEGATES:
The President or his/her representative shall be the official delegate to the Wylie ISD Council of PTAs membership meetings; and
The President or his/her representative shall present a report to the executive board members relating information from the Wylie ISD Council of PTAs delegate meetings.
